Full job description
The Human Resources Representative provides clerical support services in a highly confidential manner, enters data and provides information based on knowledge of College policies, practices, and general Human Resources topics. To ensure quality service is provided to all who come into the office, the incumbent must be bilingual and proficient in Spanish and English. This position serves in a high-volume customer service capacity and responds to inquiries via phone, email, and in-person. The Human Resources Representative will assist the Compensation and Benefits Manager with various Benefits tasks and projects. This position also supports the Talent Acquisition team with interview scheduling, responding to candidate inquiries, and other tasks. The incumbent will also provide direct assistance to new employees and student workers with onboarding. This position will assist with processing tuition waivers during eligibility verifications.

Required Qualification(s)
- High school diploma or equivalent.
- Bilingual and proficient in Spanish and English
- Two (2) or more years’ general office experience including, but not limited to, direct customer service, report preparation, and record keeping.
- Must be well-organized with superior attention to detail and able to manage multiple priorities and deadlines.
- Adheres to strict confidentiality requirements and protection of sensitive data/records.
- Ability to prioritize tasks well in a high-paced environment.
- Intermediate Microsoft Office skills including Word and Excel.
- Excellent communication (oral and written) skills.
- Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.
Desired Qualification(s)
- Prior Human Resources experience.
- Experience with HRIS systems and report writing or query applications.
- Experience working in a high-volume/high transactional environment.

Summary of Essential Functions
Student/Customer Service (50%)
- Assists in the onboarding process. Processes E-Verify checks, conducts reference checks and runs background checks as requested; enters.
- Assists in day-to-day benefits administration. Reviews new employee benefit information for accuracy and completeness, follows up as needed with the employee or the manager. Processes benefits enrollments and terminations in PeopleSoft and with appropriate carriers. Regularly audits carrier records with college records. Respond to employees regrading benefits questions and coverage.
- Assists in the tuition wavier process by determining eligibility for tuition waiver. Works with Business Office to ensure waiver is applied correctly. Research issues and resolves or escalates to manager for more complex issues. Respond to tuition waiver questions from employees.
- Responds to questions from all levels of College personnel and applicants regarding personnel policies, procedures, benefits, search status, position openings, and other related issues. Assists College personnel with accessing forms on the Human Resources and Benefits web pages. Provides primary HR help desk intake for in-person and telephone interactions. Shares in the role of office receptionist including answering phones, greeting visitors, and answering miscellaneous questions. Assists external and internal job applicants with PeopleAdmin questions.

- Provides bilingual Spanish/English translation (oral and written) communications as requested for such issues and student worker onboarding, employee relations interviews, and benefits questions
Department Operations/Processes (40%)
- Sorts, screens and distributes mail, maintain calendars, and schedule appointments. Uses scanning software to link documents to employee records in order to maintain records in an accurate and timely manner. Compiles and maintains files and records. Assists with file and FOIA requests.
- Assists with HR project work as needed and provides assistance with employee events including Benefits Open Enrollment, Staff Development Days, Values Recognition, Holiday and related open houses, Service Awards and others as requested.
- Composes and/or types correspondence and prepares and/or distributes reports, letters, routine correspondence, and memos.
- Benefits transactional work
Other (10%)
- Assists with HR project work as needed and provides assistance with employee events including Benefits Open Enrollment, Staff Development Days, Values Recognition, Holiday and related open houses, Service Awards and others as requested.
- Provide assistant with HRIS software testing.
- Assist the Benefits Manager with setting up the benefits open enrollment fair.
- Performs other duties as assigned.
