The Office of Medical Student Education at the University of Michigan Medical School seeks a dynamic and dedicated individual to serve as an Administrative Coordinator for the Center for Experiential Learning and Assessment (CELA), which includes the Doctoring and the Standardized Patient (SP) Programs. This position will report directly to the SP Program Director and the Doctoring Program Manager, and will work closely with other members of the CELA team. The incumbent will be responsible for providing support to Doctoring faculty and students, which includes student records, preparation of course materials and event organization, as well as supporting SP program hiring, scheduling, database management, payroll, and SP session activities.

The Administrative Coordinator will be responsible for providing comprehensive support to the Doctoring and Standardized Patient (SP) Program. This shall include, but is not limited to, responsibilities with the following: faculty and student support, maintenance of student records, preparation of course materials and event organization, administrative support for SP program hiring, program scheduling, database management, payroll, and SP session activities. Specific responsibilities for this position are as follows:
1. Doctoring course support:
a. Manage Canvas courses for Program, including calendars, grading and assignments
b. Review and post instructional packets for faculty and students via DropBox and Canvas
c. Monitor student assignment completion, grading and remediation plans
d. Organize and oversee room reservations, attendance, technology set-up and materials for instructional sessions
e. Assist with development and execution of Standardized Patient events
f. Coordinate MSTP student clinical and Standardized Patient refresher exercises
g. Act as first point of contact for assigned cohorts of faculty and students
2. Assist the SP Program Administrative Coordinator in the daily operation of program activities. This includes the following responsibilities:
a. Review the daily and weekly calendar to ensure proper preparation for all activities
b. Oversee program hosting for SP activities and special events
c. Complete SP payroll
d. Provide backup for program invoicing and financial reports
e. Monitor Clinical skills room supplies and maintenance
3. Assist the SP Human Resources Administrator with the following:
a. Review, screen, and determine eligibility of SP applicants
b. Coordinate and conduct interviews
c. Partner with the CELA Administrative Coordinator to facilitate the hiring processes and ensure completion of temporary
employee paperwork
d. Provide backup for the program hiring process
e. Maintain SP database, track performance and attendance
f. Collect SP availability and confirm work schedules
4. Assist Standardized Patient Educators with the following:
a. Provide support for case training and administration
b. Review videos for quality assurance
The Office of Medical Student Education is currently working in predominately remote settings due to the COVID-19 pandemic. This position will require a combination of in-person and remote work as staff transition back to our Ann Arbor offices. All staff are provided with a monitor, laptop and related accessories. Remote office equipment such as desk, chair and printer are not provided for remote work. Staff must supply their own reliable internet access. Basic supplies such as paper and pens, are stocked at the business location and are available to remote staff for pick-up.
This position will periodically move boxes and supplies weighing up to 20 lbs within buildings while utilizing proper safety techniques.
